Recruitment Privacy Notice

Recruitment privacy notice

Last updated: 11 October 2026. This notice covers recruitment.havertoncare.co.uk.

Who is responsible for your information?

Haverton Recruitment is operated by Haverton Care Limited, company number 17025493. Registered office: 128 City Road, London, EC1V 2NX. For privacy enquiries and information rights requests, email recruitment@havertoncare.co.uk or write to the registered office.

Information we use

We use contact details, employment history, qualifications, skills, work preferences, availability, CVs, applications and recruitment correspondence. Employer information includes business contacts, organisation details, vacancies and staffing enquiries. You provide this information through registration, your profile, applications and correspondence. We use it to provide recruitment services, assess suitability, communicate with you and administer recruitment enquiries.

Please do not include unnecessary identity documents, health information, national insurance numbers or criminal-record information in a general CV. Any necessary sensitive checks require a separately authorised process and appropriate information about that processing.

Our reasons for processing information

We use information for recruitment services and pre-contract steps you request. We also rely on legitimate interests in handling recruitment enquiries, administering applications and keeping the service secure, taking account of your rights and expectations. Where applicable, statutory records are processed to meet the relevant legal obligation. Optional marketing or talent-pool use requires a separate choice where consent is required. You may withdraw consent where we rely on it, without affecting earlier lawful processing.

Who receives information?

Authorised Haverton staff access information relevant to their work. Identifiable CVs and profiles are shared with named employers only through a recorded, authorised introduction, with appropriate notice and permission where applicable. GoDaddy provides hosting and the hosting email relay; Microsoft 365 handles the recruitment business mailbox. The recruitment email is delivered to the existing Haverton business mailbox. Contact us for information about supplier processing locations and applicable transfer safeguards.

Operations integration and shared login are disabled. There is no automatic transfer of CVs to Operations.

How long we keep information

Unsuccessful candidate records and CVs are reviewed for deletion six months after the final unsuccessful recruitment outcome. A documented legal hold or a separately recorded continuing purpose may require a different review date. Reviews are carried out by authorised staff; deletion is not automatic.

For active applications, successful placements, staffing, employer and financial records, the relevant ongoing purpose, contractual obligations and applicable statutory requirements determine retention. We review whether information remains necessary and restrict records subject to a legal hold. Contact us for the criteria applicable to your records. Backups and authorised exports must also be considered when handling deletion requests; restored records must be checked against completed deletion decisions.

Storage and security

The Recruitment website uses HTTPS and a separate WordPress database. CV files are stored outside the public website directory. Downloads require authorised access. Candidate and employer access is restricted by role and record ownership. No security measure guarantees absolute protection.

Your information rights

Depending on the applicable basis and circumstances, you can request access, correction, deletion, restriction or portability, object to processing, and withdraw consent where it is relied upon. Email recruitment@havertoncare.co.uk. We may need proportionate identity verification before responding. You can also complain to the Information Commissioner’s Office.

Cookies and recruitment decisions

WordPress uses necessary cookies for sign-in and account preferences. We do not enable optional marketing tracking as part of this launch. Matching suggestions support recruiter review. Hiring and eligibility decisions require human review; matching scores do not decide employment outcomes.
